The personal information we collect depends on how you interact with us and may include:

booking, purchase and transaction information;
details about classes, workshops, events or memberships you have booked or enquired about;
information provided through our website forms, including your pottery or ceramics experience and information relevant to the class or service you are interested in;
membership information, including information associated with your studio access;
correspondence and communications with us;
marketing preferences and newsletter subscriptions;
information provided when entering a promotion, registering at an event or otherwise engaging with Apollo;
information reasonably required for safe participation in our classes, workshops, events or studio activities, such as emergency contact details, allergies or relevant medical or health information;
photography or video permissions;
information collected through our website and digital services, such as your IP address, device and browser information, website activity, cookies and similar technologies; and
CCTV footage and information associated with access to our premises.
We will generally only collect information that is reasonably necessary for our activities or that you choose to provide to us.

book or purchase a class, workshop, event, product or membership;
complete a booking, membership, registration or enquiry form;
contact us by email, through our website or through another communication channel;

become or remain an Apollo member; or
otherwise provide information to us.

3. Information provided to us by someone else
Sometimes we receive personal information about an individual from another person.
For example, a parent or caregiver may book a class for a child, a teacher or school may provide details about students attending a class, or a person organising a corporate or group booking may provide the names or other details of participants.
Where we collect personal information about you from someone else, we will take reasonable steps to ensure you are made aware that we have collected the information, why we have collected it, who may receive it, and your rights in relation to that information, where required by law.
We may not need to separately notify you where an exception under the Privacy Act applies, including where you have already been made aware of the relevant matters.
If you provide us with personal information about another person, you should ensure that you are authorised to provide that information and, where appropriate, make them aware of this Privacy Policy.
4. Children and young people
Some Apollo Clay and Art classes and activities are available to children and young people.
A parent, caregiver, teacher or other responsible adult will often make the booking and provide information on behalf of a child or young person. This may include the participant's name, age and other information reasonably required for the class.
Where necessary for safety, we may separately request emergency contact details, information about allergies or relevant medical or health information, and photography permissions.
We ask that only information relevant to the participant's safe participation is provided.
We take particular care with information relating to children and young people and will only use it for the purposes for which it was collected or as otherwise permitted by law.
5. How we use personal information
We may use personal information to:
process and manage bookings, purchases and payments;
provide classes, workshops, memberships, events and other services;
administer memberships and studio access;
communicate with you about bookings, classes, events, purchases or memberships;
understand participants' experience levels and prepare appropriately for classes;

maintain business, accounting and transaction records;

6. Marketing communications
We may invite you to receive news about Apollo Clay and Art, including information about upcoming classes, workshops, memberships, events, promotions and other activities.
Where appropriate, we will ask you to choose whether you would like to receive marketing from us. We may also send marketing communications where you have otherwise consented to receive them or where permitted by law.
Your name, email address and relevant marketing preferences may be stored and processed using an email marketing service provider.
You can unsubscribe from marketing emails at any time by using the unsubscribe link contained in the email or by contacting us.
We may still send you non-marketing communications that are necessary to administer an existing booking, transaction, class or membership.
7. Online payments
Online payments made through our website are processed using Squarespace Payments and its associated payment infrastructure.
When you make a payment, information required to process the transaction may be provided directly to the payment provider. Apollo does not need to receive or store your complete payment card details.
We may retain information about the transaction itself, such as the amount paid, date, products or services purchased, payment status and other information required for accounting, customer service and business administration.
8. Website analytics, cookies and advertising
Our website uses cookies and similar technologies to operate the website, understand how visitors use it and support our advertising and marketing activities.
We currently use or may use services including:
Google Analytics to understand how visitors find and interact with our website.
Meta Pixel to measure website activity and the effectiveness of advertising on Meta platforms such as Facebook and Instagram.
Google Ads conversion tracking to measure actions taken after someone interacts with our advertising and to understand the effectiveness of our campaigns.
These services may collect information such as your IP address, device and browser information, pages viewed, interactions with the website and information about how you arrived at our website.
Some of these providers may use cookies or similar identifiers and may process information outside New Zealand.
You can control or restrict cookies through your browser settings and, where available, through the cookie or privacy controls provided on our website. Restricting certain cookies may affect some website functionality.
9. Photography, video and artwork
From time to time, Apollo Clay and Art may photograph or record classes, workshops, events, finished or in-progress pottery, and other work created in the studio for use on our website, social media, advertising and other promotional material.
Where a person is identifiable in a photograph or video, we will seek appropriate permission before taking or using that content for promotional purposes. For children and young people, we may seek permission from a parent or caregiver where appropriate.
We may photograph pottery, ceramics or other work created at Apollo for promotional purposes. Where practicable, these images will focus on the work itself and will not identify the person who created it unless appropriate permission has been obtained.
If you do not want your work photographed or used for promotional purposes, please let us know.
10. CCTV and studio security
CCTV operates at our premises for legitimate safety and security purposes.
CCTV footage may be used to:
protect customers, members, visitors and property;
maintain studio safety and security;
investigate incidents, damage, theft, unauthorised access or other security concerns; and
assist law enforcement or other authorities where disclosure is authorised or required by law.
CCTV footage will only be accessed where reasonably necessary and will not be retained for longer than reasonably required for its purpose, subject to any legal or operational requirements.
11. Member access information
Apollo members may be issued individual access codes or other credentials allowing access to the studio.
We may collect and hold information relating to these credentials and their use for purposes including:
administering memberships;
providing and controlling access to the studio;
maintaining the security of the premises;
investigating unauthorised access or security incidents; and
managing health and safety.
Members should keep their personal access credentials secure and must not provide them to unauthorised people.
12. Who we may share information with
We do not sell personal information.
We may provide personal information to trusted third parties where reasonably necessary to operate Apollo or provide our services. These may include:
our website, hosting and ecommerce providers;
payment processors;
email marketing providers;
Google Workspace and cloud storage providers;
analytics and digital advertising providers;
IT, website and other professional service providers;
accountants, advisers and other business service providers;
emergency services or healthcare providers where reasonably necessary to protect someone's health or safety; and
government agencies, regulators, law enforcement agencies or other parties where disclosure is authorised or required by law.
Where a third-party provider processes information on our behalf, we expect them to appropriately protect that information and use it only for the purposes for which it has been provided.

Some of the technology and cloud services we use may store or process information outside New Zealand.
These may include website hosting, cloud storage, email, analytics, advertising, payment processing and email marketing services.
Where personal information is disclosed outside New Zealand, we will take reasonable steps to comply with the requirements of the Privacy Act 2020, including the requirements relating to overseas disclosures where they apply.
